Risk Assessments & Controls

Spot risk early. Enforce controls. Prove compliance.

Risk assessments shouldn’t live in folders. Safely digitises them and connects controls to real workflows so they’re completed, tracked, and evidenced.

The Problem

Manual, inconsistent assessments create gaps between policy and reality. Controls get missed, reviews go overdue, and evidence is hard to defend.

What Safely Does

Safely standardises risk assessments, version-controls content, prompts dynamic assessments, and enforces controls with automated escalation.

Complete Control. One Platform.

Download the brochure to see how the Safely Operating System brings safety, compliance, and day-to-day operations together. Connect tasks, checklists, and IoT monitoring, and give your team full traceability without the administrative burden.

How It Works

Step 1

Central Template Control
Build and maintain standard risk templates centrally.

Step 2

Assessment Deployment
Launch assessments by task, role, site and timing.

Step 3

Evidence-backed Verification
Verify completion with evidence and accountability.

Step 4

Review Trends & Controls
Review trends and escalate repeat control failures.

Risk Assessments & Controls FAQs

Under Regulation 3 of the Management of Health and Safety at Work Regulations 1999, UK employers have a legal duty to carry out a "suitable and sufficient" risk assessment . The HSE expects this to be a continuous loop rather than a one-off form, requiring organisations to identify hazards, assess risks, control risks, record findings, and continually review those controls . A compliant assessment must also follow the hierarchy of controls, prioritising elimination and engineering controls over personal protective equipment (PPE), which should be a last resort .

Risk assessments typically fail because they are treated as "static documents" in dynamic environments. Common failure modes include:

  • Control drift: Controls that exist on paper decay on the shop floor (e.g., barriers are moved, housekeeping slips, or inspection intervals are missed).
  • Weak evidence linkage: The assessment mandates a weekly inspection or specific training, but the organisation cannot produce the corresponding evidence.
  • Poor review triggers: Organisations fail to update their assessments following an incident, near miss, audit finding, or equipment change.

.

The true cost extends far beyond the immediate risk of harm. Weak controls cause day-to-day operational disruption, such as "make safe" stoppages, rework, and increased supervision burdens . Furthermore, if an organisation cannot prove its controls are active, clients and auditors may suspend work or block business opportunities . In the UK, courts use Sentencing Council guidance where health and safety fines are influenced by organisational turnover and the risk of harm, exposing larger companies to massive financial penalties even if no actual injury occurred .

Instead of relying on a library of free-text PDFs, the Safely platform acts as a risk-control operating system . It transforms risk assessments into structured, actionable workflows by defining each hazard, person at risk, and control as a measurable requirement . Safely includes version control, approval workflows, and role-based access to ensure assessments are actionable, auditable, and easily communicated .

Safely prevents "control drift" by directly linking risk assessment controls to its Jobs & Tasks Calendar. For every control defined, Safely automatically generates the required supporting work, such as scheduled housekeeping inspections, maintenance checks, and permit reviews.

  • Automated Escalation: Overdue tasks escalate automatically so managers can intervene before an audit failure occurs.
  • Audit-Ready Evidence: When staff complete a task, the platform captures time stamps, required photos, and digital signatures, eliminating the "we did it but can't prove it" problem.

Safely leverages Owlbert AI to shift organizations from lagging indicators to proactive prevention.

  • Hotspot Detection: The AI analyzes data across sites to detect leading indicators, such as near-miss clusters or rising non-compliance, before an injury happens.
  • Automated Reviews: Owlbert automatically triggers a risk assessment review task if a control repeatedly fails or an incident occurs.
  • Visual Verification: Using Owlbert Vision and IoT cameras, Safely can visually verify physical controls in real-time—such as spotting blocked fire exits or poor housekeeping—and automatically log a non-compliance record with an attached corrective action.
